Role: Field Service Coordinator

Location: Global HQ in Rosemont, IL

Departmental Core Operation Hours: Monday - Friday, 7 AM to 6 PM CST (shifts start between 7-9AM with corresponding shift end-times)

Reports to: Manager, Service Projects & Initiatives

Job Level: Full-Time Individual Contributor

The Field Service Coordinator will manage service tasks and administration for all certified Independent Service Operators (referred to as ISOs). The individual in this role will be responsible for email, invoicing, inventory, running and monitoring reports, and managing technician’s information in our ERP.

As a Field Service Coordinator with Life Fitness, you will be responsible for:

Email Box (Zendesk)/ Phone: Field Service Coordinators will monitor the email box/phone responding to and answering requests from Life Fitness Technicians. This includes but not limited to:

  • Create and update service tasks

  • Work with the call center to answer customer inquiries and follow ups

  • Inventory/ returns management

  • Task closures

  • Tech portal questions

  • New ISO requests

ISO Invoicing/ Payment Administration: Assist in updating the payment process of the ISOs on a weekly basis. This includes the following:

  • Running Rate Agreement reports

  • Research and verification of work completed vs payment

  • Review all completed and signed work orders

Inventory Management: Manage technician’s van inventory levels. This includes the following:

  • Reviewing Inventory / Auditing Inventory

  • Receiving/ Issuing parts

  • Creating returns in the system and sending return labels

Monitor Reports: Handle special reporting projects for Field Service Coordinator Team. This includes but is not limited to:

  • Pro-actively following up on backordered parts

  • Pro-actively following up on aging service tasks

  • Miscellaneous special projects.

Service Request/Tasks: Manage Service Requests/Tasks as needed. This includes but is not limited to:

  • Approve Travel and Labor increases/adjustments.

  • Generate/create follow up service for technicians.

  • Assist in the ordering of parts

New Tech Searches /Setups: Manage the search and onboarding of new ISOs. This includes but is not limited to:

  • Receive a list from Dispatchers or managers of which area needs technicians

  • Reaching out to prospective ISOs

  • Send out review questionnaire/ application paperwork

ISO Database Maintenance: Uploading ISO documents onto a database, eliminating all paper copies of each ISOs Service Agreement and Insurance paperwork related to ISOs. This includes the following updates:

  • Every 2 years a new Service Agreement needs to be signed and recorded.

  • Every 2 years a new Liability Insurance verification needs to be signed and updated.

  • Every 2 years re-certification needs to be completed.

Other duties & responsibilities, as assigned

EXPERIENCE/SKILLS (QUALIFICATIONS):

  • Associate's degree or equivalent coursework required; Bachelor's degree preferred

  • Strong mechanical aptitude, technical aptitude, and computer-savviness

  • 2-4-year previous experience in a customer facing, customer service / corporate inside support role

  • High level of professionalism with excellent communication skills (both verbal and written)

  • A positive, proactive and helpful attitude with a collaborative style and proven ability to be a good team-player

  • A desire to complete tasks with urgency and accuracy with a desire to learn and grow within an organization

  • Strong problem-solving skills, a keen attention to detail / accuracy

  • Ability work independently, adapt quickly to change, to multi-task and work within a fast-paced, deadline-driven environment
